Give your business one reliable set of facts to publish from
A company fact sheet is a maintained record of the public facts a business wants represented accurately. It should cover trading identity, services, contact routes, coverage and permitted evidence, with an owner for updates. Use it as an internal publishing reference, then make the relevant information clear on the website and legitimate public profiles.

A service changes, but an old brochure remains online. A contact page is updated while a directory still lists the previous number. A specialist brand launches and the relationship with the main company is left unexplained. Each change can leave several public versions of the business.
A fact sheet creates a practical reference for the people maintaining those sources. It does not need to become another promotional page or a machine-only document. Its value is consistency and responsibility.
What belongs in the fact sheet?
| Field | What to record |
|---|---|
| Identity | Public trading name, relevant legal identity and the relationship between genuine brands. |
| Services | Current service names, scope descriptions and the official page for each. |
| Contact | Approved public routes and who maintains them. |
| Coverage | Where and how the work can actually be delivered. |
| Evidence | Permitted case studies, genuine testimonials and verified qualifications. |
| Review ownership | The person responsible for approving each kind of change. |
How specific should the record be?
Record facts at the level required to publish them accurately. “National service” may need an explanation of remote delivery, attendance arrangements or product limitations. “Certified partner” needs the current programme, credential and permitted wording.
Keep private credentials and client information out of the public version. An internal verification note may refer to a contract or account record without making it suitable website content. The fact sheet should distinguish the evidence held privately from the evidence permitted for publication.
How could a business use it during an update?
Imagine a hypothetical firm adding an ongoing advisory service beside an existing project offer. The fact sheet records the new service name, who it suits, the approved scope and the official service URL. It also records which older materials should change.
The website team updates the service page and navigation. The marketing team uses the same service description when updating legitimate profiles. Sales reviews the proposal language. The work is coordinated around one set of facts, with each public source checked after its update.
How does this relate to structured data?
Structured data can describe selected business facts in a standard form. Google’s Organization guidance explains relevant organisation information. The markup should follow the facts and visible presentation rather than introduce unsupported offices, relationships or claims.
A correct graph cannot reconcile a website that still contradicts itself in ordinary content. Check the contact page, service explanations, footer, schema and public profiles together. The reader should be able to understand the same business across those sources.
What should the review process look like?
Give each change a date, an owner and a list of affected sources. Verify the live output rather than assuming a saved draft has reached the public page. Keep a record of third-party corrections that have been requested but not yet applied.
Review the fact sheet when the business changes its offer, branding, location arrangements or contact information. A calendar reminder alone is less useful than linking the review to those actual events.
